Legal basis
Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation) (Official Journal of the European Union L 119, 4.5.2016).
1. Data Administrator
The administrator of your personal data is "Association for the Support of Cancer Research", ul. Wybrzeże Armii Krajowej 15, 44-100 Gliwice, Poland.
2. Change of decision regarding the processing of personal data
Where the processing of personal data is based on your consent, you have the right to withdraw your consent at any time. Withdrawal of consent does not affect the lawfulness of processing carried out before the withdrawal.
Providing personal data is voluntary. However, providing the data necessary for conference registration is required to participate in the conference. Failure to provide such data may make participation in the conference impossible.
3. Purpose and legal basis for the processing of personal data
Your personal data is processed for the following purposes:
a) Performing activities related to the recruitment and registration of conference participants
b) Collecting and processing information on abstracts submitted by conference participants
c) Collecting information on the amount of the conference fee due by each participant and the payment processing status
d) Informing participants about critical changes in the conference program via email
e) Maintaining records of participation in previous editions of the conference and providing registered users with access to their own participation history
f) Preparing and publishing aggregated and anonymised statistics concerning individual editions of the conference
g) Maintaining historical documentation of the conference, including records serving as evidence of participation.
h) Where applicable, publishing the participant's name, surname, affiliation and email address in printed conference materials distributed among conference participants.
4. Type of data processed
The following data are processed:
a) necessary to identify the participant of the conference and to issue an invoice for the conference fee (name, surname, name of the employing institution and its address, tax ID). Participants are not required to provide their home address.
b) necessary to contact the participant (e-mail address)
Data relating to participation in previous editions of the conference may also be retained in the user's account.
The publicly available historical information concerning previous editions of the conference is presented only in aggregated and anonymised form and does not provide statistics concerning individual participants.
5. Recipients of data
Personal data is processed within the infrastructure administered by the Data Controller and is not transferred to external service providers or other third parties.
6. Data processing period
The data is kept for the time necessary to conduct the conference recruitment process and to organise and conduct the conference.
After the conference, selected personal data may be retained as part of the historical documentation of the conference and as evidence of participation. This includes information necessary to maintain a reliable record of participation in individual editions of the conference.
Registered users may access their own data relating to participation in previous editions through their user account after logging in. Such access is not public and is limited to the respective user.
Aggregated and anonymised statistical information may be retained indefinitely for the purpose of documenting the history and development of individual editions of the conference.
Personal data processed on the basis of a legitimate interest will be retained only for as long as necessary to achieve the relevant purpose.
Personal data subject to mandatory retention under applicable legal, accounting or tax requirements will be retained for the period required by those regulations.
7. The rights of Users
Each user has the right to:
a) Delete Data: You have the right to request the deletion of all or some of your personal data where the conditions for exercising this right under the GDPR are met.
b) Change or Correct Data: You can edit some of your personal data through your account. You can also ask the Data Administrator to change, update or correct your personal data where it is inaccurate or incomplete.
c) Right to Access and/or Take Your Data: You have the right to obtain confirmation as to whether your personal data is being processed and, where applicable, to obtain access to your personal data and a copy of such data.
d) Restriction of Processing: You have the right to request restriction of the processing of your personal data in cases provided for by the GDPR.
e) Data Portability: Where applicable, you have the right to receive your personal data in a structured, commonly used and machine-readable format and to transmit it to another administrator.
f) Right to Object: Where the processing of your personal data is based on a legitimate interest of the Data Controller, you have the right to object to such processing on grounds relating to your particular situation.
g) Withdrawal of Consent: Where processing is based on your consent, you have the right to withdraw that consent at any time.
h) Right to Lodge a Complaint: You have the right to lodge a complaint with the supervisory authority responsible for data protection, in particular with the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych) in Poland.
8. Changes to this privacy policy
The Data Administrator reserves the right to make changes to this privacy policy at any time by giving notice to its Users on this page. It is strongly recommended to check this page regularly, referring to the date of the last modification listed at the top.
If a User objects to any of the changes to the Policy, the User can request that the Data Administrator remove their personal data where the conditions for exercising the right to erasure under the GDPR are met.
